If you’ve started planning your wedding, you’ve probably run into a confusing mix of titles:
Venue coordinator.
Day-of coordinator.
Wedding planner.
At first glance, they can sound interchangeable. And honestly? A lot of people use them that way.
But here’s the truth: these roles are very different, and understanding what each one does can make or break your wedding experience. So let’s clear it up—simply, honestly, and in a way that actually helps you figure out what you need.

Most venues will tell you that they “include a coordinator.”
And that sounds amazing… until you realize what that actually means.
A venue coordinator works for the venue—not for you.
Their primary responsibility is to make sure the venue itself is operating properly and that everything related to the space runs smoothly.
They are essential—and truly valuable—but their focus is the building and operations, not your wedding as a whole.
Think of it this way:
Your venue coordinator makes sure the space works.
They are not there to manage the experience of your day.
Now let’s talk about the person who is there for your experience: your wedding coordinator (often called a “day-of coordinator,” though the work starts well before the wedding day).
A wedding coordinator works for you.
You are their priority. Your people, your timeline, your vision—that’s what they’re there to protect.
A wedding coordinator is the one making sure everything you planned actually comes together and flows seamlessly.
They take all the decisions you’ve made and turn them into a day that feels effortless.

Without someone in this role, those responsibilities don’t disappear—they just fall onto:
And that’s usually not how anyone wants to spend a wedding day.A coordinator protects your time, your energy, and your ability to actually experience your wedding.

If you take one thing away from this post, let it be this:
A venue coordinator manages the venue.
A wedding coordinator manages your wedding.
They often work together—but they are not interchangeable.
And having both can make your day run seamlessly.

Now let’s zoom out a bit.
If a coordinator steps in to bring everything together, a wedding planner is there to help you build it in the first place.
A wedding planner takes everything a coordinator does (and then some) and starts much earlier in the process.
And yes (at least here at KL Coordination), we also stay through the wedding day and coordinate everything as well.
Planning a wedding isn’t just a checklist—it’s a series of decisions that shape how your day feels.
A planner helps you:
If a coordinator protects your day, a planner supports your entire experience.
This is where it gets personal—and there’s no one-size-fits-all answer.
A lot of couples assume their venue coordinator will handle everything.
And by the time they realize that’s not the case… they’re already deep into planning, and are last-minute searching for help.
At the end of the day, this isn’t just about logistics. It’s about how your wedding feels:
And you deserve a day that feels really, really good.
If you’re feeling unsure about what level of support you need, that’s completely normal – and you don’t have to figure it out alone.
If you’re looking for a wedding planner or coordinator, we’d love to chat! Reach out with what you’re envisioning for your wedding—we can figure out the rest together.
Because you deserve a wedding day where you’re not managing things…You’re actually living it.
